Saxophone Studio Policy

Private Home-Studio Instruction — Enrollment, Payment & Studio Expectations

Welcome to Chen Wang Saxophone Studio, a private teaching studio operated by Chen Wang in his residence. This policy is designed to support consistent instruction, respectful scheduling, and clear communication among students, families, and the teacher. Please review it carefully before enrolling.

1. Trial Lesson, Enrollment, and Schedule

  • Complimentary trial. Each prospective student may receive one complimentary 30-minute trial lesson, subject to availability. The trial has no cash value and does not create an ongoing reservation of a weekly lesson time.
  • Regular lessons. Regular private lessons are 45 minutes and are normally held once each week at a recurring day and time agreed upon by the student and the Studio.
  • Tuition. The lesson rate is $100 per 45-minute one-on-one lesson.
  • Four-lesson billing cycle. Tuition is prepaid in groups of four lessons. The amount due for each cycle is $400 and must be paid before the first lesson in that four-lesson cycle.
  • No registration fee. The Studio does not charge a registration or enrollment fee.

2. Payment Method and Payment Records

  • Cash payment. The Studio accepts payment in cash only. Credit cards, debit cards, personal checks, cashier's checks, money orders, Venmo, and other electronic payment services are not accepted.
  • Invoices and receipts. The Studio does not issue invoices or receipts for lesson payments. The Studio maintains its own internal payment records.
  • Reserved lesson time. A recurring lesson time is reserved only while the student's current four-lesson cycle is paid and the student remains actively enrolled.

3. Cancellations, Absences, and Rescheduling

  • Twenty-four-hour notice. A student may cancel or request to reschedule a lesson for any reason by emailing the teacher at least 24 hours before the scheduled start time. There is no fixed limit on properly noticed cancellations.
  • Same-day illness. When a student becomes ill on the lesson day, the family may cancel by email before the lesson begins. A same-day cancellation may be excused for illness and may be rescheduled or credited, subject to the teacher's availability.
  • Other same-day cancellations. If less than 24 hours' notice is provided for a reason other than illness, the lesson will normally be treated as used and the lesson fee will not be refunded. The Studio understands that unexpected circumstances occur and will communicate respectfully about unusual situations.
  • No-show or forgotten lesson. A lesson missed without notice, including a lesson forgotten by the student or family, is treated as used and is not eligible for a refund or replacement lesson.
  • Make-up scheduling. Eligible make-up lessons depend on the teacher's schedule and may not be available at the student's preferred day or time.
  • Teacher cancellation. If the teacher cancels a lesson, the student may choose a make-up lesson, a credit toward a future lesson, or a refund for that lesson.

4. Refunds and Withdrawal

Tuition already earned for completed lessons is non-refundable. Fees for no-shows, forgotten lessons, and other late cancellations treated as used under Section 3 are also non-refundable.

A student may withdraw and request a refund of the unused portion of a prepaid four-lesson cycle by emailing the Studio at least 24 hours before the next scheduled lesson. Refunds will normally be returned within 10 business days, with written confirmation of the amount returned.

A properly cancelled individual lesson may instead be rescheduled, credited, or refunded, as agreed in writing. The Studio does not charge an administrative fee for an eligible refund.

5. Studio Holidays, Teacher Leave, and Weather

The Studio will provide reasonable notice of scheduled holidays and personal leave. If the Studio closes because of severe weather or another safety concern, affected lessons will be rescheduled, credited, or refunded. Each family remains responsible for deciding whether travel is safe; students should email as early as reasonably possible if local conditions prevent attendance.

6. Parent–Teacher Communication

Parents and guardians are welcome to use a portion of the student's scheduled lesson time to discuss progress, goals, practice habits, or concerns. For example, during a 45-minute lesson, instruction may conclude approximately one to two minutes early for a brief update.

Substantive conferences should take place during the student's scheduled lesson time. To protect teaching, preparation, and rest periods, parents and students should not expect unscheduled conferences during breaks or outside lesson hours.

Email is the preferred communication method. The Studio will normally reply within 48 hours, excluding legal holidays, announced personal leave, and periods when the teacher is unavailable because of illness or emergency.

7. Minor Students, Supervision, and Transportation

Chen Wang Saxophone Studio provides private music instruction only and is not a school, daycare, childcare, transportation, or babysitting service. The teacher's responsibility for a minor student is limited to reasonable supervision during the student's scheduled lesson and within the designated teaching area of the residence.

  • Arrival and departure. The parent or legal guardian is solely responsible for arranging safe and timely transportation, drop-off, and pick-up. Responsibility for the student before the lesson begins and immediately after it ends remains with the parent or guardian.
  • Parent availability. If a parent or guardian leaves during the lesson, that adult must remain reachable by phone and return by the scheduled ending time. The Studio may require a parent or guardian to remain present when reasonably necessary because of the student's age, needs, behavior, or safety.
  • Late pick-up. If an unavoidable delay occurs, the parent or guardian must notify the teacher promptly. The teacher does not assume an ongoing duty of childcare because a parent or guardian is late.
  • Home studio boundaries. Students and accompanying family members must remain in the designated lesson or waiting area and respect the privacy, property, household members, and safety rules of the residence.
  • Emergency contact. The parent or guardian must provide accurate emergency contact information and promptly update any relevant medical, allergy, behavioral, or accessibility information needed for a reasonably safe lesson.

Nothing in this policy waives responsibility for conduct that cannot lawfully be waived. This section clarifies the limited instructional role of the Studio and the continuing responsibilities of the parent or legal guardian.

8. Written Notices and Policy Updates

All cancellations, rescheduling requests, refund requests, and withdrawal notices must be emailed to Chenwangsax@gmail.com. A message is effective when received by the Studio. The Studio may update this policy by providing reasonable written notice; changes will not retroactively reduce lessons already purchased or alter an already earned refund.

Enrolling a student in lessons, or continuing lessons after this policy is shared, constitutes agreement to these terms. If the student is a minor, the parent or legal guardian agrees on the student's behalf.
